Monthly reconciliations ready for underwriter and state audits.

Post-closing service
Monthly three-way reconciliation of your escrow accounts: bank statement, book balance and individual file ledgers matched, with every difference found, explained and cleared.

Overview
Every escrow account holds money that belongs to buyers, sellers, lenders and payees. Every dollar has to be traceable to a file, and the account has to balance every month. State regulators, underwriters and auditors all expect to see a clean reconciliation, and an unexplained difference is a serious finding.
Our reconciliation team performs a three-way reconciliation of each escrow account. We match the bank statement to your book balance and to the sum of individual file ledgers, then investigate and document every difference until all three agree.

In depth
Every closing moves money through an escrow account: earnest money in, loan funds in, payoffs, commissions, taxes and seller proceeds out. Across hundreds of files a month, that adds up to thousands of transactions in an account that holds nothing of the agency’s own. Reconciliation is how the agency proves, every month, that the money is all there and that every dollar belongs to a specific file.
A two-way reconciliation compares the bank to the books. A three-way reconciliation adds the third check that matters most: the total of every individual file ledger must equal both.
When the bank, the books and the files agree, every dollar in the account has an owner.
When reconciliations slip, small problems hide. A wire posted to the wrong file leaves one file short and another over. A disbursement made before funds cleared creates a negative balance. A duplicate check goes unnoticed. Each month the differences get harder to trace, and they come to light at the worst moment — an underwriter audit, a state examination or a claim. In many states, timely three-way reconciliation is a regulatory requirement, and underwriters routinely require it of their agents.
Each month our team gathers the bank statement, your book records and the individual file ledgers. We match deposits, wires and disbursements line by line, list outstanding checks and deposits in transit, and bring the three totals into agreement. Anything that doesn’t match is investigated — traced to its file, explained and documented — and items that need action, such as stale checks or negative balances, are flagged to your team.
Our team reconciles and reports; it does not move or release funds. Corrections and disbursements stay with your authorised staff.
Every month ends with the same package: the three-way reconciliation, supporting schedules and a note on every reconciling item. When an auditor or underwriter asks, the answer is already on file.

It confirms that three figures agree: the adjusted bank balance, the book balance in your system and the total of all individual file ledger balances. All three must match for the account to be fully reconciled.
