Overview

Decades of records, one searchable plant.

A title plant is the private, organised copy of a county’s land records that makes fast title searching possible. Its value depends entirely on the quality of its index: every deed, mortgage, lien and judgment posted to the right property and the right names, with nothing missing and nothing misplaced.

Our title plant team keeps that index accurate. We key daily recordings into your plant, digitise and index historical records from books, microfilm and images, and clean up existing data so that every search starts from a complete, reliable record.

  • Daily take-offs keyed from new recordings
  • Back plants built from books, microfilm and images
  • Geographic and name indexes, cross-checked
  • Legacy data cleaned, converted and verified

In depth

Why the index is the plant.

What a title plant does

County recorders index documents mainly by name. A title plant goes further: it indexes every recorded document against the property it affects, so a searcher can pull a parcel’s complete chain of title in one query instead of tracing names back through decades of grantor-grantee books. That is why plants make searching faster, cheaper and more reliable — and why many states require title insurers or agents to have access to one.

A title plant is only as good as its index. A record posted to the wrong parcel might as well not exist.

What goes wrong without consistent indexing

Plants degrade quietly. When daily take-offs fall behind, recent liens and conveyances are missing from searches. When a document is keyed with a wrong lot number or a misspelt name, it drops out of the chain it belongs to and turns up later as a claim. Older years held only in books or on microfilm force searchers back to the courthouse. And after years of different staff and systems, legacy data becomes inconsistent enough that even good searches return gaps.

How our process prevents it

Our team captures each record — from a county feed, a scanned book or a microfilm reel — identifies the instrument type and keys the parties, recording details, legal description and cross-references to your plant’s standards. Each record is posted to both the property and name indexes and verified before it goes live. For back plants, we work year by year, so newly indexed years become searchable as soon as each is complete.

Engineering for the long term

Beyond keying, we help with the structure of the plant itself: standardising legal description formats, mapping subdivisions and parcels, cleaning duplicate or orphaned entries and converting legacy data when you move to new plant software. The result is a plant your examiners can trust, today and as it grows.

Questions

Title plants, answered.

What is a title plant?

A privately maintained, indexed copy of a county’s land records. Unlike most county indexes, it indexes documents by property as well as by name, so a parcel’s chain of title can be searched directly.

What are daily take-offs?

The documents recorded at the county each day. We key them into your plant so it stays current.

Can you build a back plant from old records?

Yes. We digitise and index historical records from books, microfilm or existing images, working year by year.

Do you work in our plant software?

Yes. Our team works inside your plant or title platform under your access controls and follows your keying standards.

Can you clean up our existing plant data?

Yes. We standardise legal descriptions, fix misposted records, remove duplicates and convert legacy data when you change systems.

How do you keep indexing accurate?

Each entry follows the plant’s keying rules and is verified against both the property and name indexes before it goes live.

What is your typical turnaround?

Daily take-offs are usually keyed within 24 hours of the county posting them. Back-plant projects are scheduled by volume.

Can you add new counties to our plant?

Yes. We can start with current take-offs in a new county and build the back plant behind them.
